The New-Hire Welcome Kit Playbook: What to Include at Every Budget

How to build employee welcome kits that make day one memorable, with item checklists for $30, $60, and $100+ budgets, plus remote-team shipping logistics.

First impressions compound. A new hire who finds a thoughtful kit on their desk (or doorstep) on day one tells their friends, posts the unboxing, and starts with the sense that this company has its act together. One that gets a password on a sticky note… also tells their friends. Here's how to build kits that land, at three honest budget levels.

The anatomy of a great kit

Every strong welcome kit has three layers:

  1. A hero item: the thing they'll still use in a year. Usually drinkware or a hoodie.
  2. Daily-driver items: notebook, pen, small tech. Used constantly, cheap per impression.
  3. The wrapper: the box, tissue, and a welcome note. Costs the least, does the most for the moment itself.

Skip any layer and the kit feels either cheap (no hero) or transactional (no wrapper).

The $30 kit: small team, real impression

Roughly $25–28 per person at 25+ units. The mug is the hero; the box does the emotional heavy lifting.

The $60 kit: the standard for growing companies

This is the configuration we see ordered most. Pro tip: collect t-shirt sizes in the offer-acceptance form, not after the start date.

The $100+ kit: executive and client-grade

Use this tier for leadership hires, client gifts, and milestone anniversaries. Presentation matters most here: nothing loose in the box.

Remote teams: logistics is the hard part

The kit is easy; getting 40 kits to 40 apartments is where DIY breaks down. Three things to know:

  • Multi-address shipping: we ship kitted boxes directly to home addresses from one order. Send us a spreadsheet; that's the whole process.
  • Batch monthly, not per-hire: most companies order quarterly against a hiring forecast and keep a small buffer. Volume tiers (explained in our pricing guide) reward this heavily.
  • Sizes will be wrong sometimes: order apparel one size-run wide, or pick size-free heroes (drinkware, tech) for the shipped kit and hand out apparel at the first onsite.

Don't forget the reorder

Welcome kits are a subscription, not a project. Your artwork, sizes, and kit configuration stay on file with us, so reorders skip setup fees and go straight to production. Set a calendar reminder when inventory hits 25%.
