The Event Swag Timeline: Plan Backwards From Your Date (Template Included)
A week-by-week planning template for conference and event swag: when to order, when proofs happen, when rush fees kick in, and how to ship to a venue.

Every event-swag disaster we've ever helped untangle had the same root cause: the order started from "what do we want?" instead of "when is the event?" Swag has two clocks (production and shipping), and neither cares about your keynote. Here's the timeline that keeps both on your side.
The master timeline (work backwards)
Take your event date and count backwards:
T-minus 8 weeks: decide and order

- Place the order with final artwork uploaded
- At this distance, standard production covers everything in the catalog with room to spare
T-minus 7 weeks: approve the proof, fast
Your digital proof arrives within a business day of ordering. Proof approval is the step teams sit on, and every day of internal review eats schedule margin. Nominate one decision-maker in advance; a proof circulated to five stakeholders adds a week, minimum.
T-minus 4–6 weeks: production runs
Nothing for you to do here. Production takes 7–12 business days depending on the item. This is the window to sort logistics: booth staff, badge scanners, and the shipping destination (see below).
T-minus 2–3 weeks: goods ship
Standard transit anywhere in the US is 2–5 business days. Your buffer exists for carrier weirdness; don't spend it before you have to.
T-minus 1 week: everything is somewhere safe
Boxes should be at the venue's advance warehouse or in your office, counted, with one sample opened and inspected. Never let the first box you open be the one at the booth.
Ordering late? Here's the honest math
- 4–5 weeks out: Fine on most items. Some color options may be constrained.
- 2–3 weeks out: Doable with rush production on many products. Contact us before ordering and we'll confirm feasibility and any rush charge in writing.
- Under 2 weeks: Sometimes possible with expedited shipping stacked on rush production. Costs climb and options narrow. Ask; don't guess.
Venue shipping: the part nobody tells you
Most conference venues won't accept boxes addressed to "the Acme booth" days early. They route freight through an advance warehouse with its own labeling format, receiving window, and material-handling fees. Read your exhibitor kit for:
- The advance warehouse address and receiving window
- The required label format (booth number, exhibitor name, event name)
- Material handling ("drayage") rates, often billed per hundredweight
Shipping to a hotel instead? Confirm the hotel accepts packages for guests, address them to the registered guest's name with arrival date, and expect a per-box handling fee.
The quantity cheat sheet
For a standard 10x10 booth at a multi-day show, per day: ~150–200 Tier 1 giveaways, ~50 conversation gifts, ~10–15 VIP gifts. Round up: leftover tumblers become office stock, but running out on day two is unfixable.
